1. About Optima Medical
Optima Medical ("we", "our", "the clinic") is a private multi-disciplinary healthcare provider operating from Stanmore, Middlesex, United Kingdom. We provide dental and medical services to private patients. Our website is located at www.optima-medical.org.
2. Services Offered
We offer the following private healthcare services:
- General and specialist dentistry (examinations, hygiene, fillings, extractions)
- Dental implants and oral surgery
- Cosmetic dentistry (veneers, teeth whitening, smile makeovers)
- Orthodontics and clear aligner treatments
- Crowns, bridges, and restorations
- Periodontal (gum) treatments
- Dentures and prosthetics
- Private GP consultations and primary care
- Aesthetic medicine (injectables, skin treatments)
- Dermatology, gynaecology, paediatrics, and urology consultations
- Physiotherapy and sports medicine
- Diagnostic services including blood tests and ultrasound
- IV vitamin and wellness infusions
All treatments are subject to clinical assessment. We reserve the right to decline or modify a proposed treatment if it is deemed clinically unsuitable.
3. Appointments
- Appointments can be booked via our website, by telephone, or via WhatsApp.
- We require at least 24 hours' notice to cancel or reschedule an appointment.
- Cancellations made with less than 24 hours' notice, or missed appointments ("DNA — Did Not Attend"), may incur a cancellation fee of up to £50.
- We will make every reasonable effort to send appointment reminders via SMS or email; however, it is the patient's responsibility to attend or cancel in good time.
4. Pricing and Payment
- All prices are displayed on our Price List page and are inclusive of VAT where applicable.
- Prices are indicative and may vary following individual clinical assessment. A full written treatment plan and cost breakdown will be provided before any treatment begins.
- Payment is due in full at the time of treatment unless a finance or staged-payment arrangement has been agreed in writing beforehand.
- We accept all major debit and credit cards, bank transfer, and cash. Finance options are available on request.
- Deposits may be required for laboratory work, implants, or orthodontic cases. Deposit amounts will be confirmed in your treatment plan.
5. Refund Policy
We aim to provide an excellent standard of care. Please read our refund policy carefully:
Consultations
Consultation fees are non-refundable once the appointment has taken place. If you are unable to attend, please cancel with at least 24 hours' notice and we will reschedule at no additional charge.
Treatment Deposits
Deposits paid for planned treatments (e.g. implants, orthodontics, laboratory work) are refundable in full if cancelled more than 7 days before the scheduled treatment date. Deposits cancelled within 7 days of treatment are non-refundable, as laboratory and preparation costs will have been incurred.
Completed Treatments
Fees for treatments that have been carried out are non-refundable. If you are unhappy with the outcome, please contact us within 14 days and we will arrange a complimentary review appointment to discuss and, where clinically appropriate, address your concerns.
How to Request a Refund
To request a refund, contact us in writing at info@optima-medical.org with your name, date of treatment, and reason for your request. We aim to respond within 5 business days. Approved refunds are processed within 10 business days to the original payment method.
Statutory Rights
Nothing in this policy affects your statutory rights under UK consumer law, including the Consumer Rights Act 2015.
6. Clinical Standards and Liability
- All clinical staff are registered with the General Dental Council (GDC) or General Medical Council (GMC) as appropriate.
- We carry full professional indemnity insurance.
- We are not liable for outcomes arising from failure to disclose relevant medical history, non-compliance with aftercare instructions, or circumstances beyond our reasonable control.
7. Complaints Procedure

- We will acknowledge your complaint within 3 business days and resolve it within 20 business days.
